Training programs & vocational schools
Make every program page answer the questions adult learners ask first.
Adults weighing a trade school, a certification course or a bootcamp want the same things: when it starts, what it costs, what is included and who to talk to. We build program pages that state schedule, start dates, prerequisites and total cost plainly, an information-session booking flow, and a back end for advising follow-up, cohort capacity, attendance and employer billing. Your school's own systems stay the record for enrollment, aid and compliance.
What we set up
Program pages and information sessions
Each program page lists its schedule format (day, evening, weekend or online/hybrid), cohort start dates, prerequisites, total cost and what is included. Visitors book an information session or a call with an advisor. The AI assistant answers practical questions from the details you supply, shows the application checklist, and hands anything about outcomes, financial aid, loans, credit transfer, immigration or legal questions to a real advisor. It never promises jobs, salaries, pass rates or aid.
Advising, cohorts and capacity
Every inquiry is tied to a program and a cohort and assigned to an advisor with a follow-up reminder. The back end tracks application and document checklists, seats filled and waitlists, instructor and lab or equipment scheduling, and attendance or clock hours, so a full cohort or an open bay is visible at a glance.
Tuition plans, employers and funding
Tuition plan payments are tracked with failed-payment follow-up. Employer and funding-agency billing (workforce boards, grants) has its own list with invoice status. Certification exam scheduling handoffs and alumni and placement records you maintain are kept alongside, and compliance reporting stays in your own systems.
Where this business gets hard
Inquiries go cold between interest and a start date
A prospective student may be comparing several programs while working a job. A prompt reply, a booked information session and a follow-up reminder tied to their cohort keep an inquiry from being forgotten.
Outcome claims are tightly regulated
Statements about placement, salary or pass rates can create legal exposure if they are unverified. We show outcome figures only when you provide verified data with its source and date, and the assistant never improvises them.
Cohorts fill unevenly
One cohort is full with a waitlist while another has empty seats. A live view of seats, waitlists and start dates lets advisors point people to the right cohort.
Many payers, many invoices
A single class may include self-pay students, an employer sponsor and a workforce board, each with different billing and reporting. Tracking each payer separately avoids missed invoices and surprises.
Set up for the way you work
Not every training programs & vocational schools business runs the same way. We adjust the setup to fit yours.
- Trade or vocational school
- Hands-on programs with lab and equipment scheduling, clock-hour attendance, program approval and state disclosure requirements. Instructor, bay and equipment availability drive the schedule.
- Certification prep provider
- Shorter courses tied to an outside exam. Exam registration is a handoff to the testing body, and the site is clear about what the course does and does not include.
- Coding or skills bootcamp
- Cohorts with set start dates, online or hybrid formats, tuition plans and employer partnerships. Advertising of outcomes is tightly regulated in many states.
- Nonprofit workforce-development program
- Funding from grants or agencies, eligibility handled by program staff, reporting to funders and many participants with limited time. Funder billing and reporting dates drive the setup.
- Employer-sponsored training
- Training delivered for a company's own staff, with a sponsor contact, group scheduling and invoicing to the employer instead of the student.
Busy seasons and slow ones
Many adult learners decide in January and after the summer, so inquiry volume often rises around those starts. Cohort start dates, fiscal year budgets for employers and agencies, and grant cycles set busy periods for enrollment, billing and reporting. We can set follow-up reminders by cohort start date, waitlist notices when a seat opens, and funder reporting reminders, always with your approved wording.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- When is the next start date, and what schedule options are there?
- What is the total cost, and what is included in it?
- What do I need before I start, and what is on the application checklist?
- Can I do this around a job, in the evening or on weekends?
- Does the school accept employer or workforce-agency funding?
- What is your refund and cancellation policy?
Common mistakes we help you avoid
- Advertising job placement, salary or pass-rate figures that are not verified or lack the required source and date.
- Answering financial aid, loan, credit-transfer or immigration questions in chat instead of with a qualified advisor.
- Asking applicants to send ID numbers, transcripts or financial details by email or text.
- Leaving refund and cancellation terms or required student disclosures hard to find before the student commits.
Regulation, outcomes advertising and adult learners
Postsecondary and vocational schools are regulated by state (licensing or exemption, program approval), by accreditors and, where a school takes federal aid, by federal rules. Advertising of job placement, salaries and outcomes is strictly regulated, and many states require refund and cancellation policies and student disclosures. We show outcome statements only when you supply verified figures with their source and date, and the demo shows none. The AI assistant does not promise jobs, salaries, certification pass rates, financial aid, loan approval or transferable credit, and does not give immigration, legal or financial-aid advice. Those go to your advisors. We do not collect Social Security numbers, government ID, transcripts, financial or immigration details through this site or the assistant; applications and records belong in your own secured systems. No licensing, accreditation or compliance certification is claimed. You stay responsible for your approvals, disclosures, advertising claims, refunds and student records.
