Academies & learning centers
Sensitive data, security review included
Fill every term with the right students in the right classes.
Families want to know which program fits their child, when the next term starts, what it costs and whether there is a place. Behind the scenes, you are juggling levels, instructors, rooms, waitlists, tuition plans and re-registration. We build a clear website with assessment and trial-class booking, term registration, and an organized back office that matches the way your academy already runs.
What we set up
A site that gets families to the right program
Programs, levels, ages, term dates, schedules and tuition are easy to find. Families book a free trial class or an assessment visit, join a waitlist or start term registration from their phone, and the AI assistant answers common questions at any hour. It hands assessment results and anything sensitive to your staff.
Terms, levels and rooms that stay organized
Enrollment is tracked by program and term, with capacity, waitlists, cohorts and rosters for every class. Instructors, rooms and equipment are scheduled together so one room is never booked twice. Registration fees, tuition plans, sibling discounts and make-up or withdrawal rules stay with each family record, and failed cards get a follow-up.
Progress, performances and re-registration
Parents see their own child's attendance, instructor notes and progress reports in a portal, along with the performance, recital or competition calendar. Uniform and equipment orders, instructor pay and qualification dates, and background-check and certification renewals are tracked as your own records, and re-registration campaigns go out before each new term opens.
Where this business gets hard
Levels, cohorts and placement
Students arrive at different stages, and a wrong placement frustrates the child and the parent. Recording each assessment visit, the instructor's own placement note and the cohort a student joins keeps the decision with your staff, with a clear record for next term.
Instructors, rooms and equipment across many classes
One lab, one stage or one set of robotics kits can serve only one class at a time, and instructors teach several programs. A schedule that checks the instructor, the room and the equipment together avoids double bookings and last-minute swaps.
Term billing, sibling discounts and failed cards
Registration fees, term tuition, monthly plans, sibling discounts, referral credits and uniform fees all land on one household. A clear record of what each family owes and why, with automatic follow-up on failed cards, keeps billing conversations short.
Re-registration before the term turns over
Most of next term's roster is this term's roster. If families are not reminded, seats go unfilled and waitlists sit idle. Early re-registration campaigns, then waitlist offers for any open places, keep classes full without constant phone calls.
Set up for the way you work
Not every academies & learning centers business runs the same way. We adjust the setup to fit yours.
- Arts and performing-arts academy
- Levels by age and skill, a rehearsal calendar and a recital or showcase at term end. Costumes, uniforms and performance fees come with registration.
- Athletics or sports academy
- Teams or skill groups, practice and game or meet schedules, uniforms, equipment and travel permission forms. Coaches' certification dates and facility scheduling matter most.
- STEM, robotics or coding academy
- Cohorts by age and level, shared kits and lab time, and project showcases. Equipment tracking and clear class capacity matter most.
- Language or cultural school
- Weekend or after-school classes by level, instructor availability, materials fees and cultural events. Placement conversations are common and stay with staff.
- Tutoring, test-prep or enrichment center
- Small groups by subject, session blocks and parent progress updates before key dates. The center never promises scores, and assessment results stay with staff.
- Homeschool co-op or hybrid program
- Classes on set days with parent volunteers, shared rooms, per-class fees and a term calendar. Parent roles and who may pick up a child need clear records.
Busy seasons and slow ones
Registration usually peaks in late summer for fall and again in December and January for spring. Test-prep demand rises before exam dates, and arts and sports academies build toward a spring showcase or season finals. Summer is often the slowest stretch, so short courses, camps or a summer-term preview fit there. Registration that opens on a set date, a waitlist with clear offers, and early re-registration reminders keep the calendar full through each transition.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- Which program and level fits my child, and how do you decide?
- When does the next term start, and when does registration open?
- What does it cost, and are there registration, uniform or equipment fees?
- Do you offer sibling discounts or a payment plan?
- What happens if my child misses a class or we need to withdraw?
- How will I see my child's progress, and when are the performances or competitions?
Common mistakes we help you avoid
- Telling a family their child will move up a level, pass a test or win a place before an instructor has assessed them.
- Booking one room or set of equipment for two classes because only the instructor's calendar was checked.
- Letting instructor background-check or certification dates lapse because they live in different spreadsheets.
- Collecting more student information than the academy actually needs, or keeping it in an open shared document.
Students, results and licensing
Most of your students are minors, so we collect only what the academy needs and show each parent only their own child. State rules on tutoring and academy licensing, background checks for staff, and the way you describe accreditation or results vary, and the owner stays responsible for meeting them. Our system supports your own procedures and does not replace them. Background-check and certification tracking is the owner's own record, not a certification or a screening service. The AI assistant never promises test-score gains, placement into a level or a school, competition results or admissions outcomes. It never gives educational-diagnosis, learning-disability or medical advice, and it hands assessment results, accommodation questions and anything sensitive to your staff. It never confirms a seat, a tuition amount or a placement it cannot verify. Tuition goes through your own compliant payment processor and we never hold funds. Nothing here is legal advice or an accreditation.
