Photo booth, DJ & event entertainment

Hold the date, collect the details, and show up with the right gear.

Entertainment bookings live and die on dates, details and gear. We build a calendar that holds a date for a short window, packages with clear hours and overtime, a contract and deposit in one link, and an event questionnaire that gets the timeline and the must-play list to you before the night.

What we set up

Date holds, packages and contracts

Customers pick a package and date, and the date is held until a release deadline you set. The contract and deposit are signed in one link, overtime rates are spelled out, and multi-event days show conflicts before you say yes.

Questionnaires and event timeline

Each booking sends a questionnaire for the schedule, announcements, must-play and do-not-play lists, venue contact and load-in details. Answers feed one event sheet your crew can read on a phone.

Gear, crew and travel on one calendar

Each event shows the crew, the equipment kit and backup gear, travel time and setup and teardown windows. Print supplies and prop stock are tracked, and venue insurance certificates are requested and stored per event.

Where this business gets hard

Two customers want the same night

A date gets promised by text and a second customer pays a deposit for it. A calendar with date holds and a release deadline shows the owner what is held and what is signed before saying yes.

The details arrive late or not at all

A DJ shows up without the timeline, the announcements or the do-not-play list. A questionnaire with reminders puts these answers in one sheet before the event.

Gear and crew double up on busy Saturdays

Two events on one day need two kits and two crews, plus travel time between them. Equipment and crew on one calendar flag conflicts early.

Venues ask for paperwork at the last minute

A venue wants an insurance certificate and load-in details a few days out. Storing certificates and venue contacts with each event saves a scramble.

Set up for the way you work

Not every photo booth, dj & event entertainment business runs the same way. We adjust the setup to fit yours.

Wedding DJ and ceremony sound
Long timelines with ceremony, cocktail hour and reception, plus announcements, first dance and a detailed song list. Planner and venue contacts matter.
Photo booth rentals
Props, backdrops, print supplies and an attendant. Galleries and online sharing after the event, and print counts per hour, drive the supply log.
Corporate and school events
Purchase orders, approved song rules, insurance requirements and sometimes a school or company contact who signs. Invoices, not credit cards, are common.
Multi-service entertainment
DJ, booth, lighting, MC and add-ons like a dance floor or a cold spark machine. Packages mix several items, so crew and kit lists matter more.

Busy seasons and slow ones

Wedding season often runs from spring through fall, with Saturdays booking many months ahead. Graduations, school dances and proms cluster in spring, and corporate holiday parties fill the late fall and December. Winter is often slower for weddings but can be good for corporate and private parties. Release deadlines on holds, mini-sessions and weekday specials can help fill dates that stay open.

What your customers ask before they book

Your AI assistant and website are set up to answer these before anyone has to call.

  • Are you free on my date, and can you hold it?
  • What is included in each package, and what does an extra hour cost?
  • How much is the deposit, and when is the rest due?
  • Can we give you a must-play list and a do-not-play list?
  • Do you have a backup plan if equipment fails?
  • Do you work at my venue, and can you send them an insurance certificate?

Common mistakes we help you avoid

  • Holding a date by text with no deadline, then losing other bookings while waiting.
  • Skipping the questionnaire and learning about the schedule on the night.
  • Booking two events on one day without checking crew, kit and travel time.
  • Leaving venue rules, insurance requirements and music licensing to chance. These are the owner's responsibility and vary by venue.

Venue rules, insurance and music licensing are yours to manage

Venues set their own rules for load-in, sound limits and insurance certificates, and music licensing requirements vary. We build the forms, reminders and document storage around your own policies. You stay responsible for venue rules, insurance coverage and music licensing.
