Real estate agents & property managers

Sensitive data, security review included

Answer every lead and every tenant, and keep each deadline in view.

Agents lose buyers and sellers who wait a day for a reply. Property managers lose hours to rent questions and maintenance texts. We build a site that shows listings and books showings and consults, a tenant portal for rent and repair requests, and a back end that keeps leads, deadlines, leases and work orders organized.

What we set up

Listings, showings and consults

Listings with photos, saved searches, showing requests and booking for valuation or buyer consults. The AI assistant answers practical questions and books a time. It does not give legal, tax or mortgage advice, never presents a price estimate as an appraisal, and never promises a sale or rental outcome. Leads route to the right agent with a follow-up reminder.

Tenant portal and maintenance

Tenants pay rent through your own processor, submit maintenance tickets with photos and see lease details. Work orders go to your approved vendors, and owners can see statements and repair status. Rental applications are handed to your own screening service, with applicant consent.

Deadlines, leases and records

Transaction checklists with due dates, document collection, rent rolls, owner statements, lease renewal and notice reminders, inspection dates and vacancy and turn tracking. Security deposits are tracked per your state's rules, and money is held in your own accounts, never ours.

Where this business gets hard

Leads that go cold in a day

A buyer or tenant who messages three agents will often talk to the first one who answers. Instant replies, a booked showing and a reminder to follow up keep leads from slipping away.

Deadlines in a transaction are easy to miss

Inspection periods, disclosure forms, financing dates and closing all have due dates. A checklist per transaction, with reminders and document collection, keeps the agent from carrying it all in memory.

Maintenance requests pile up in texts

A tenant texts a photo, then texts again. Tickets with photos, an urgency level, an assigned vendor and status updates cut down on repeat calls and keep a record.

Deposits, notices and renewals have rules

Security deposit handling, entry notices, lease renewal and non-renewal timing and late-rent steps follow state and local law. Reminders keep dates visible, and you decide what to send.

Set up for the way you work

Not every real estate agents & property managers business runs the same way. We adjust the setup to fit yours.

Residential sales agent
Leads, saved searches, showings, a transaction checklist per deal and past-client follow-up drive the setup.
Buyer's or listing team
Several agents share leads and calendars. Routing rules, showing assignments and shared transaction checklists matter more than one person's inbox.
Residential property manager
Rent rolls, a tenant portal, maintenance tickets and vendors, owner statements, lease renewals and inspections are the core.
Vacation or short-term rental manager
Calendars, turnover cleanings, guest messages and owner reports matter more than long leases. Local permit and tax rules vary, and the owner stays responsible.

Busy seasons and slow ones

Many markets see more buyers and listings in spring and early summer, and a slower stretch in late fall and winter, though this varies by region. Rentals often turn over when school ends or begins, so lease expirations can bunch up in summer, and vacancy tracking and turn schedules get busy. Winter can bring more heating, plumbing and weather-related repairs. We can set up renewal reminders ahead of the busy turn season, seasonal listing pages and inspection reminders in advance.

What your customers ask before they book

Your AI assistant and website are set up to answer these before anyone has to call.

  • Is this home or rental still available, and can I see it this week?
  • How do I apply, and what does the application involve?
  • What are the fees, deposit and lease terms?
  • How do I pay rent, and how do I submit a repair request?
  • What is my home worth, and can I talk to an agent about selling?
  • What do you charge to manage a rental, and what do owners receive each month?

Common mistakes we help you avoid

  • Using wording in ads, chats or screening that could steer or exclude people by protected characteristics.
  • Mixing owner funds, deposits and operating money. Trust accounting follows state rules, and you stay responsible.
  • Letting maintenance requests live in personal texts with no record or status.
  • Missing a lease renewal or notice date because it was only in someone's calendar.

Licensing, trust accounts and fair housing

State licensing, trust and escrow account handling, landlord-tenant, disclosure and advertising rules vary by state and sometimes by city. The AI assistant and this site follow fair housing principles. They never steer, filter or screen by protected characteristics, and tenant screening runs through your own compliant service with the applicant's consent. We do not hold rent, deposits, earnest money or other client funds. Those go through your own compliant accounts and processors. The assistant does not give legal, tax, mortgage or investment advice. You stay responsible for compliance, for what you advertise and for how your accounts are handled.
