IT support & managed service providers
Keep every ticket, alert and renewal in one place, and keep credentials out of it.
IT support companies live on tickets, monitoring alerts and recurring agreements, and a missed patch or renewal lands on a client's bad day. We build a site that explains your service and takes an IT assessment request, a client portal for tickets and documents, and a back end for service agreements, onboarding, procurement and recurring billing.
What we set up
Assessment requests and tickets
A visitor asks for an IT assessment and describes their business in general terms. The site tells them not to enter passwords, network details or client data. The AI assistant answers practical questions and takes a request, and never promises that a client will not be breached, gives security guarantees or asks for credentials. Existing clients open tickets that carry a service level and an owner.
Onboarding, monitoring and documentation
A checklist walks each new client through onboarding. Alerts from your monitoring tools, patch status and backup checks are tracked against each client. The documentation vault records what exists and where, and shows only the words stored in password manager for anything secret. Credentials are never shown anywhere in this system.
Agreements, renewals and reviews
Per-user and per-device monthly agreements bill automatically through your own payment processor. Hardware and license procurement and renewals have due dates and reminders. Quarterly business reviews, after-hours on-call and vendor contacts are scheduled and recorded.
Where this business gets hard
Tickets pile up and targets slip
A ticket with no owner and no service target gets forgotten until the client calls angry. Priorities, owners and a visible clock for each ticket keep the day under control.
Alerts nobody owns
Monitoring tools send alerts all day, and without a rule for who looks at which kind, real problems hide among noise. A queue that assigns each alert to a person and records what was done makes it clear.
Renewals and hardware orders get missed
Licenses, domains, warranties and certificates expire on their own dates. A renewal calendar with reminders ahead of time, and a procurement record per client, avoids surprise outages and rush orders.
Documentation that exposes secrets
Passwords in a spreadsheet or a ticket are a risk in themselves. A documentation vault records systems and who to call, and shows only that a credential is stored in a password manager, never the credential itself.
Set up for the way you work
Not every it support & managed service providers business runs the same way. We adjust the setup to fit yours.
- Small business break-fix and support
- Tickets, simple hourly or block billing and a customer who calls when something breaks. Fewer recurring plans, quick response matters most.
- Managed service provider (MSP)
- Per-user or per-device agreements, monitoring, patching, backup checks, onboarding and quarterly reviews drive the setup. Recurring billing and renewals are the core.
- Compliance-driven clients
- Healthcare, finance and legal clients may need written agreements and extra documentation. The owner handles those agreements, and the system keeps track of what is signed and when it is due.
- Project and cabling work
- Office moves, network installs, cabling and hardware rollouts are scoped, scheduled and billed as projects, with a procurement record for what was ordered and installed.
Busy seasons and slow ones
Many clients plan hardware and license purchases around budget cycles and tax time, and the end of a fiscal year or a lease can bring a rush of refresh requests. Hurricane season matters on the Gulf Coast for backup tests and off-site copies. Back-to-school and holidays can slow business for some clients and change on-call needs. We can set up renewal reminders ahead of expirations, backup-test prompts before storm season, and quarterly review scheduling.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- What is included in a monthly agreement, and is it per user or per device?
- How fast do you respond, and what happens after hours?
- Do you back up our data, and how do we know it works?
- Can you handle our industry's paperwork, such as a business associate agreement?
- Who do we call when something breaks, and how are tickets tracked?
- What do we have to buy, and who owns the licenses and the domain?
Common mistakes we help you avoid
- Promising that a client will not be breached, or using the word guarantee about security.
- Putting passwords or access codes in tickets, chat, notes or a shared spreadsheet.
- Onboarding a client without a device inventory, a tested backup and a written scope.
- Letting licenses, domains and warranties renew by accident, or lapse by accident, with no one assigned.
No security guarantees, and rules vary
Clients in healthcare, finance and other regulated fields may need written agreements such as business associate agreements, and requirements vary by industry, state and contract. The owner handles those agreements and stays responsible for them. We make no certification or compliance claims, and the AI assistant never promises that a client will not be breached, never gives a security guarantee and never asks for or stores a password. Nothing here is legal advice. You stay responsible for compliance, your contracts and what you advertise.
