Moving companies
Quote from the inventory, not from a guess.
A mover wins on the quote and keeps the customer on move day. We turn the customer's own room-by-room list into a clear estimate, then keep your crews, trucks and paperwork lined up behind it.
What we set up
Instant quotes from an inventory
Customers list rooms and big items, add stairs, long carries and packing, and get a ballpark by volume. Your team confirms it with a photo or video walkthrough and sends a binding or not-to-exceed estimate for e-signature and a deposit.
Crews and trucks on one board
Each job shows crew size, truck, start window and access notes. Crew leads clock hours on their phone, so the final bill matches what actually happened.
Fewer damage disputes
Customers pick valuation coverage when they book. Condition photos, signed paperwork and a simple claims log keep every claim documented from day one.
Where this business gets hard
Hourly clocks and minimums
Most local moves bill by the hour with a minimum, and the clock rules (does it start at the truck or the door, is drive time billed) cause arguments. Written rules and phone clocks run by the crew lead keep the final bill matching the quote.
Payroll, tips and day labor
Crews mix full-time movers, seasonal hires and day labor, and tips and overtime make payroll messy. Clocked hours per job and per person, with tips recorded separately, make pay day faster and cleaner.
Access fees nobody mentioned
Stairs, long carries, elevators, shuttle trucks for narrow streets and heavy items are real extra time and cost. If they are not asked about at booking, they show up as a surprise on move day.
Binding, non-binding and valuation paperwork
Which kind of estimate was signed, what coverage the customer chose and what condition the furniture was in all matter when a claim arrives. Rules vary by state and by local versus interstate, and the owner stays responsible for using the right forms.
Set up for the way you work
Not every moving companies business runs the same way. We adjust the setup to fit yours.
- Local, hourly
- Priced by crew size and hours with a minimum. The setup centers on access questions, clock rules and a fast, clear ballpark.
- Long distance and interstate
- Priced by weight or volume with a binding or not-to-exceed estimate, a larger deposit and more paperwork. Federal registration and customer-rights documents may apply, so the contract steps follow your own licenses.
- Commercial and office moves
- Quoted as a project with a walkthrough, a floor plan, elevator reservations, certificates of insurance for the building and after-hours crews. Billing is often to a company on invoice terms.
- Packing, storage and labor only
- Packing is its own line with materials, storage needs start and end dates and monthly billing, and labor-only jobs have no truck. Each needs its own price list and its own damage-responsibility wording.
Busy seasons and slow ones
Moving runs hot from late spring through early fall, with the end and start of each month, weekends and school breaks filling first. Winter and midweek are slow. Reminders can offer open weekday slots at a small discount, deposits hold peak dates, and a waitlist fills cancellations. Booking confirmations that ask about parking permits and elevator reservations a week out cut down on move-day delays.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- Is your estimate binding or just a guess?
- What happens if the move takes longer than quoted?
- Are my things insured while on your truck, and what does it cover?
- Do you charge extra for stairs, long carries or a heavy piece?
- Do I need to tip, and how does it work?
- What if my closing date moves or my move is cancelled?
Common mistakes we help you avoid
- Quoting by room count without asking about stairs, elevators, parking distance and heavy items.
- Letting crews write hours on paper, so the final bill is rebuilt from memory.
- Skipping condition photos before loading, which leaves nothing to compare when a claim arrives.
- Taking no deposit on a peak-season date and then losing the slot to a last-minute cancellation.
Licensing and coverage
Local moves, moves across state lines and moves out of state follow different rules, including federal registration and customer-rights paperwork for interstate work. We build the estimate, contract and claim steps around your own licenses and insurance. You stay responsible for meeting the rules that apply to your moves.
