Fence, deck & patio builders

Turn a backyard idea into a clear estimate, a permit plan and a build schedule.

Outdoor projects depend on things a customer cannot see from the couch: where the property line sits, what the HOA allows, where the utilities run and what lumber costs this month. We make it easy to ask for a site visit and describe the project, and keep estimates, approvals, locates, crews and billing organized behind it.

What we set up

Site visit and estimate requests

Customers pick fence, deck or patio, add rough length or size, the material tier they are leaning toward and any gates, and ask for a site visit. You record linear or square footage and send a written estimate with materials, labor, tear-out and haul-away on separate lines.

Approvals, locates and permits tracked per job

Each job has a checklist for the survey or property line check, permit and setback review, HOA approval and the call-before-you-dig utility locate request, with dates and who is responsible. A job is not scheduled until the needed approvals are in.

Crews, weather and milestone billing

Crews see the plan, gate locations, access notes and material delivery. Weather delays move jobs with a notice to the customer. Deposits and milestone invoices, such as materials delivered and posts set, are paid through your own compliant processor.

Where this business gets hard

Property lines and approvals

A fence on the wrong side of a line, or a deck without a needed permit or HOA sign-off, becomes the builder's problem. A checklist for the survey, setback, permit and HOA steps with dates and responsibilities shows what is cleared before anyone digs.

Utility locates and digging

Call-before-you-dig requests take time, and marks can fade or be disturbed. Tracking the request date and what was marked keeps post holes off buried lines and tells you when to reschedule.

Lumber and material price swings

A quote written weeks ago can be wrong when material costs move. Estimates with an expiry date and a clear note on what happens if prices change protect the margin and set expectations.

Weather and crew scheduling

Rain, wet ground and heat move jobs, and a customer who cleared the day is unhappy. A flexible window, text notices and a crew calendar that shifts with the weather keep a rainout from becoming a lost customer.

Set up for the way you work

Not every fence, deck & patio builders business runs the same way. We adjust the setup to fit yours.

Fence specialist
Many jobs priced by linear foot, with gates, corners and grade changes. Locates, line checks and crew days per run matter most.
Deck builder
Larger projects with permits, footings, railings and sometimes inspections. Material choices, ordering lead times and milestone billing drive the setup.
Patio and hardscape
Excavation, base material, drainage and pavers. Square footage, delivery and equipment access shape the estimate and the schedule.
HOA, commercial and repeat accounts
Written bids, approvals through a board or manager, certificates of insurance and repeat maintenance. Recurring accounts replace one-off bookings.

Busy seasons and slow ones

Spring and early summer are often the busiest, as people plan for outdoor season, and fall can bring a second push before the cold. Rainy seasons, frozen ground and heat can slow work, and permit offices have busy stretches. Slow months are a good time to follow up on old estimates, line up approvals early and lock in material orders.

What your customers ask before they book

Your AI assistant and website are set up to answer these before anyone has to call.

  • How much per foot, and what makes the price go up or down?
  • Do I need a permit or HOA approval, and who handles it?
  • Who checks the property line, and what if the fence is on the wrong side?
  • How long will it take, and what happens if it rains?
  • Can you remove and haul away the old fence or deck?
  • What warranty comes with the work and the materials?

Common mistakes we help you avoid

  • Starting before the permit, HOA approval and utility locate are in place.
  • Assuming a property line from a fence that already exists, instead of checking a survey.
  • Quoting from an old material price list with no expiry date.
  • Leaving responsibilities vague. Permit, setback and licensing rules vary by state and city, and the owner stays responsible.

Permits, setbacks and licensing vary

Permit and setback rules, HOA requirements, utility locate procedures, contractor licensing, written-contract and deposit rules differ by state, county and city. Who is responsible for a property line or a permit is set by your own agreement and local rules. We build the estimate, approval and billing steps around your templates and counsel's guidance, and the site never gives legal advice or makes certification claims. You stay responsible for meeting the rules that apply to your work.
