Personal trainers
Spend your time coaching, not chasing sessions and payments.
A trainer's calendar is only as good as the client who shows up. We set up booking, session packages and reminders so clients can schedule in a minute, and you keep programs, check-ins and payments organized whether you train in a gym, a park or someone's living room.
What we set up
Booking by location and session type
Clients pick a one-on-one or small-group session, a time and a location: the gym, an outdoor spot or their home. Travel time is built into in-home bookings, and cancellation windows follow your own policy.
Session packages that track themselves
Packs of 10 or monthly plans count down as sessions are used, with rollovers, expiry dates and freezes set by you. Clients see their balance, and you get a nudge before a pack runs out.
Programs, check-ins and the paperwork
Each client has a record with the program you wrote, session notes, attendance and the check-ins you ask for. Waivers and your own health questionnaire are collected and stored before the first session.
Where this business gets hard
Income is only earned when the client shows up
A late cancel is an empty hour you cannot resell. A clear cancellation window, reminders and a card on file for packages protect the time without an awkward text each time.
Packages are hard to track by hand
Sessions used, sessions left, rollovers and expiry dates live in a notes app until someone disputes the count. A running balance both of you can see ends the arguments.
Training in many places stretches the day
Gym, park and in-home sessions mean travel, gaps and clients in different parts of town. Location and travel time on each booking keep the day realistic.
Paperwork has to be done before the first workout
Waivers, emergency contacts and your own health questionnaire are easy to chase after the fact. Collecting them at booking means a session never starts without them.
Set up for the way you work
Not every personal trainers business runs the same way. We adjust the setup to fit yours.
- Solo trainer renting gym space
- You book around the gym's hours and pay a rental or fee. Session location, floor time and any gym check-in rules shape your calendar and packages.
- Outdoor and in-home trainer
- Travel time, service area, weather backups and a client's own equipment matter. Each booking carries an address or meeting spot and a rain plan.
- Small-group and boot camp trainer
- Group size, per-person pricing, rosters and waitlists replace one-on-one slots. Clients buy class packs or a monthly plan, and make-up rules matter.
- Online and hybrid coach
- Some sessions are video calls and some in person, with programs delivered between visits. Check-ins, program updates and a client portal carry more of the weight.
Busy seasons and slow ones
Many trainers see a surge in January and again in spring as people aim for summer. Weddings, events and sports seasons bring short bursts of focused training. Summer vacations, holidays and bad weather can thin out outdoor and in-home schedules. Slow stretches are a good time to offer a package renewal or a small-group series, and to send a gentle check-in to clients who have gone quiet.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- How much is a session, and is there a discount for a package?
- Where do you train, and do you come to my home or a park?
- What happens if I need to cancel or reschedule?
- Do sessions in a package expire, and can I pause it?
- Do I need to fill out any forms before my first session?
- Can I train with a friend or in a small group?
Common mistakes we help you avoid
- Selling packages with no expiry or rollover rule written down, then arguing over unused sessions later.
- Letting a first session start before the waiver and health questionnaire are signed and on file.
- Booking in-home sessions back to back with no allowance for travel.
- Letting a chatbot or a template answer injury or nutrition questions instead of passing them to the trainer.
Waivers, insurance and health screening are yours
Liability waivers, professional insurance, health-screening forms and any claims about certifications are the trainer's responsibility, and requirements vary by state and by the gym you train in. We build the forms and booking steps around your own documents and policies. We do not provide legal advice or make certification claims for you, and the AI hands any health, injury or nutrition question to you.
