A practical starting point
We look at the tools and routines you depend on before proposing a change. Keep useful software and focus the work on the part that needs to improve.
Food drives & community meal collections
Access and data review
Clear needs and collection instructions help goodwill become food that can be accepted and used. We help coordinate hosts, volunteers and delivery around the recipient partner's plan.

Explore example screens and use them to discuss what your organization needs. The final tools and workflow are agreed with you.
Concept with fictional data; it does not process requests or connect to live services. It illustrates a possible workflow, not an installed system.
We work through accepted items, storage and delivery with your organizers. You check how pledges become received goods and a confirmed handoff, so promised donations do not get mistaken for stock already available.

Agree the work, costs, access and checks before setup begins. Provider connections and custom development are identified in the proposal.
Your staff test the agreed tasks and get training and instructions. Ongoing care is available with its own defined support scope.
These are starting points for your project. We agree the tools, connections and level of development needed for your workflow before quoting.
Confirm needed foods, units, dietary requirements, accepted dates, storage limits and rejected items. Publish host locations, collection hours and a coordinator contact.
Track targets, promises, amounts received, usable goods and partner-confirmed handover separately. Partial deliveries and unusable food must change the totals.
Coordinate sorting, weighing, packing, drivers and an agreed receiving window. The partner confirms handling requirements and final receipt; money campaigns stay separate.
Use these industry considerations to discuss your priorities, exceptions and the way your team works.
Schedule around the receiving pantry's actual demand and receiving capacity, including summer shortages and holiday surges.
We work with you on approved information and a clear route to a person. Any connected assistant needs agreed setup, testing and boundaries.
Explore industry guides and concept demos, take the assessment or contact us. Inventory v1 now works in the portal for supplies, distribution and current equipment loans; rollout and client setup still need to be verified.
Donation links or embeds, volunteer sign-ups and specialist software can be set up using your organization's own accounts. Eligibility, subscription, permissions and a full start-to-finish test must be confirmed before launch. No provider below is connected by this catalog.
Automatic syncing with fundraising providers, general volunteer approvals, combined impact reports and specialist inventory add-ons still need to be built. They are not production Fucira modules available today.
Choose what you need. Each item shows whether it is ready and what we check before launch.
Publish most-needed and unaccepted food, dietary needs, target amounts and units, collection dates and sites, and host contacts. Track promised, received, usable, spoiled and distributed amounts separately. Plan unloading, weighing, sorting, storage and delivery; keep source, lot and expiry, and temperature records when needed.
Walk through a partial delivery, a rejected item, a unit conversion and a transfer between sites. Agree food-safety rules, storage space and who handles pickup with the pantry. Report goods and money separately; never treat a public pledge as stock or promise aid eligibility.
Applications, skills, availability, orientation, who is eligible for which role, clearance status and renewals; shift capacity, recurring teams, corporate groups, waitlists, substitutions and cancellations; reminders with consent, check-in and check-out, supervisor-approved hours and recognition.
Test a full shift, a blocked assignment, a cancellation, a replacement and an approved-hours export. Keep background-check reports restricted; a public sign-up never grants clearance. For minors, agree guardian consent, supervision and age-appropriate roles before enrolling them.
One-time and recurring gifts, campaigns and fund designations, pledges, offline gifts, tribute and anonymous preferences, thank-yous, sponsor commitments and follow-up with lapsed donors. Keep donors, volunteers and people you serve as separate groups with their own contact choices.
Test a successful gift, cancellation, recurring-gift changes, refunds, receipts and matching payouts to deposits using the provider's test process. Name where the official records live and how duplicates are handled; don't send duplicate thank-yous or treat a pledge as cash received.
Board packets, meeting records, policy reviews, approvals, renewal calendars, account owners, expense processes, accounting exports and handover. Write down which system holds contacts, gifts, inventory, cases and financial records.
Check that an administrator can recover access, that roles can change, that data can be exported and that staff turnover is covered. Match gifts, refunds and deposits without showing donor or client details to the whole board. Review who owns your email and website address, backups and vendor costs, with a named owner.
Do not promise that all collected food is usable or that donations entitle someone to aid. Do not collect perishable or prepared food without the receiving organization's approved handling plan. Informal hosts must not use personal fundraising accounts as if they belong to a charity.
These are our suggestions, based on each vendor's own documentation. They are options to consider, not installed Fucira integrations.
Look at it for collection-host commitments, needed-item lists and sorting shifts.
A practical candidate for simple volunteer slots, collection lists and event coordination.
Check first: Check reminder, reporting and admin limits. A public sign-up is not proof of screening, attendance or approved service hours.
SignUpGenius documentationUse only an eligible organization's approved account for a separate food-purchasing campaign.
Giving links and campaign embeds for eligible organizations; check supported connections, such as Zapier, separately.
Check first: Verify country and organization eligibility, bank ownership, campaign types and what connections it currently supports. Explain optional contributions to Zeffy. An embed does not create a Fucira donor list or volunteer scheduler.
Zeffy documentationRelevant to the receiving pantry's operations, not a required purchase for a one-off drive organizer.
Pantry operations requiring specialist inventory and service tracking.
Check first: Check records your food-bank network requires, inventory features, import and export, and permissions for each site. Keep your regional food bank's official records.
PantrySoft documentationWe last reviewed these providers October 16, 2026. We recheck features, eligibility and pricing when we plan your setup. Systems you already use for tickets, accounting, animal care, case management or agency reporting may still be the best place to keep your records.
Zeffy offers giving forms you can host or embed, plus recurring donations, and says it is funded by optional donor tips. We can plan a setup with you. No Zeffy account or campaign is connected here.
Read Zeffy's giving overview and connection options. Our own donor sync and bookkeeping matching still need to be built. Zeffy does not provide volunteer coordination or an inventory system for physical goods.
Specialist review · Inventory tool built; setup for your organization is confirmed before launch
Receiving, shelf locations, lots and expiration dates, items set aside for specific people, distribution, and who has which equipment now.
The shared tool records what comes in, what moves, what is handed out and who has borrowed equipment, with a full history and spreadsheet exports. A promised donation does not count as stock until it arrives. Before launch we agree your setup, who can see what, starting counts and staff training.
To confirm: Food safety, cold storage monitoring, recall tracing, agency reporting, case records, medical devices, delivery routes and offline disaster work need specialist tools or extra work.

Before you collect sensitive information, we review what you collect, who can see it, how long you keep it and your vendor agreements. Specialist needs are scoped before launch.

Your proposal separates provider setup, subscriptions, data migration and custom development, so you can see what is one-time and what recurs. A concept example is a starting point for planning.
