Food banks & pantries
Sensitive data, security review included
Make it easy to ask for food, and easy to give it out.
Neighbors who need help should find your hours, location and what to bring in under a minute, in their own language. Behind the scenes, your small team and volunteers need less paperwork, safer food records and counts that are ready when a funder or your regional food bank asks.
What we set up
A welcoming front door
A clear site with hours, locations, what to bring, how it works in plain language and the languages you serve. Visitors can choose a pickup slot or just see walk-in times. The assistant answers simple questions kindly, never decides who qualifies, and hands anything sensitive to a person.
Light, private visit tracking
Record only what you truly need, such as a visit date and household size. Many pantries must not require ID, so we build it around your rules. Household details are visible only to the roles you choose, and the assistant never asks about income, immigration or health.
Food, volunteers and reports
Track donated and purchased food with expiration dates and cold-chain temperature logs, schedule volunteer shifts and group visits, and pull the counts your regional food bank and funders ask for without rebuilding a spreadsheet every month.
Where this business gets hard
Asking for help is hard enough
People often hesitate to ask. A page that says in plain words when you are open, what to bring, that there is no ID requirement if that is your rule, and who to call lowers the barrier before anyone walks in. The assistant stays gentle and never asks why someone needs food.
Privacy and too much data
Paper sign-in sheets and old spreadsheets can leave household names in plain view. We keep only what you decide you need, restrict who can open household records and let you set how long visit data is kept.
Food that expires or warms up
Donations arrive in surges and perishable food does not wait. Dates, storage location and cold-chain temperature checks in one place let volunteers use the oldest food first and flag what needs to go out today.
Reports that eat a weekend
Regional food bank counts, grant reports and board updates often ask for slightly different numbers. Recording visits, pounds and sources once, in a consistent way, makes each report a filter instead of a project.
Set up for the way you work
Not every food banks & pantries business runs the same way. We adjust the setup to fit yours.
- Single pantry
- One site, one set of hours and one volunteer team. Setup is light: a clear public page, simple visit counts, an inventory list and a shift calendar.
- Multi-site
- Several locations with different days and stock. Each site has its own hours, inventory and volunteer lead, with one combined view for the director.
- Mobile distribution
- A truck or pop-up in different places each week. The schedule and stops are easy to update, clients get a text when the stop changes, and counts are entered on a phone at the line.
- Partner agency of a larger food bank
- You order from and report to a regional network. We track what you receive, what you give out and the counts the network asks for, in the format they use, without replacing their ordering system.
- School-based pantry
- Families pick up quietly through a school or a weekend bag program. Privacy is stricter, requests can be private, and school staff see only what they need.
Busy seasons and slow ones
Demand and giving both peak around the holidays, and many pantries see a second pressure point in summer when children are out of school and lose access to school meals. Donations of food spike in November and December and can be thin in late winter. We help by opening extra pickup slots, scheduling group volunteers early for the big weeks, planning a donation push before the lean months and sending a short reminder to recurring donors and volunteer groups.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- When are you open, and where exactly do I go?
- Do I need ID or proof of address?
- What should I bring, and can someone else pick up for me?
- Do you have food for specific needs, like halal, kosher, diabetic-friendly or baby items?
- Is there someone who speaks my language?
- Can I volunteer, bring a group or donate food or money?
Common mistakes we help you avoid
- Collecting more household details than you need, or leaving sign-in sheets where others can read them.
- Letting an assistant or a volunteer judge whether someone qualifies, instead of explaining the process and handing off to a person.
- Tracking food by hand with no expiration dates or temperature logs, so perishable donations are lost or unsafe.
- Running donations through a general form instead of your own compliant processor, or promising tax receipts the organization has not confirmed it can issue.
- Using different counts for the regional food bank, the funder and the board, so reports do not match.
Privacy, money and rules
Clients may be in a hard moment, so we collect only what is needed, limit who can see household details and never show income, immigration or health information. We never hold donations or fees. Gifts go through your own compliant payment processor. Food safety, charitable solicitation, tax receipt and network reporting rules vary by state, county and food bank network. We build around the rules you tell us apply, and your organization stays responsible for them. We do not give legal or tax advice.
