Camps, daycares & after-school programs

Sensitive data, security review included

Give parents a clear answer, and give your staff a calmer day.

Parents want to know the ages, hours, tuition and whether there is a spot, and they want to see the place before they trust it. Behind the scenes, you are juggling rosters, ratios, allergies, pickups and paperwork. We build a clear website with tour booking and enrollment, and an organized back office that supports the way your program already runs.

What we set up

A site parents can act on

Ages served, hours, tuition, the daily schedule and your safety practices are easy to find. Families book a tour, join the waitlist or start enrollment from their phone, and the AI assistant answers common questions at any hour.

Rosters, ratios and families in one place

Children are grouped by classroom or age group, staff schedules show ratios at a glance, and enrollment, tuition, sibling discounts, late-pickup fees and subsidy or scholarship notes stay with the family record. Summer camp weeks take session sign-ups with add-ons such as extended care and lunches.

Daily reports and paperwork that keep up

Parents get daily notes and photos for their own child. Health forms, immunization records, permission slips, and staff credential, training and background-check dates are tracked with reminders before anything lapses.

Where this business gets hard

Ratios and staffing on a moving day

Ratios depend on who is in the room right now, and a sick call or a late arrival can change it in minutes. Seeing each room's headcount next to its staff schedule, with a heads-up when a room is getting close to its limit, helps the director act before it becomes a problem.

Pickup, allergies and who can see what

Authorized pickup lists and medical alerts are the most sensitive information you hold. They should show only to the staff who need them, stay current, and never be changed by a chat or an email alone. Changes follow your own verification steps.

Paperwork that expires quietly

Immunization and health forms, emergency contacts, staff credentials, training hours and background-check dates all have deadlines. A tracker with reminders means the licensing visit is not the first time you notice something has lapsed.

Tuition, subsidies and chasing late payments

Weekly or monthly tuition, sibling discounts, late-pickup fees and subsidy or scholarship payments all follow different rules. Automatic billing through your own processor, plus a clear record of what each family owes and why, reduces awkward conversations at the door.

Set up for the way you work

Not every camps, daycares & after-school programs business runs the same way. We adjust the setup to fit yours.

Licensed daycare center
Multiple classrooms by age group, posted ratios, staff schedules, daily reports, a waitlist and the most documentation. Licensing inspections and staff file tracking matter most here.
In-home family daycare
A single provider or small team with a handful of families. The setup is lighter: a simple site, tour and waitlist requests, parent messaging, billing and health forms, without room-by-room rosters.
Summer day camp
Sessions by week, add-ons like extended care and lunches, field-trip permission slips, counselor schedules and a fast registration flow that opens on a set date.
After-school program
Pickup from school, drop-in versus regular days, homework and activity blocks, and attendance that has to match the school's dismissal list. Check-in and pickup verification matter most.
Preschool
A school-year calendar, half-day and full-day options, tuition by schedule, parent communication and developmental observations kept as the teacher's own notes, never as advice from the assistant.
Church or non-profit program
Often runs on scholarships, donations and volunteers. Subsidy and scholarship handling, volunteer background checks and sliding-scale tuition fit here, and non-profits save 35%.

Busy seasons and slow ones

Summer camp registration usually opens in winter and fills in spring, so the website and registration need to be ready before then. Daycares and preschools see a wave of inquiries in late summer for fall starts, and a quieter stretch in midwinter. After-school programs peak right at the start of the school year and again in January. A waitlist with a clear way to offer openings, and reminders to renew registration each year, keep the rooms full without constant phone calls.

What your customers ask before they book

Your AI assistant and website are set up to answer these before anyone has to call.

  • What ages do you take, and what are your hours?
  • What does tuition cost, and what is included?
  • Do you have an opening, and how does the waitlist work?
  • Can I tour, and who is with the children during the day?
  • How do you handle allergies, medication and sick children?
  • How will I hear about my child's day, and how does pickup work?

Common mistakes we help you avoid

  • Keeping authorized pickup lists and allergy notes on paper or in a shared document anyone can open.
  • Letting health forms, immunization records or staff background-check dates lapse until an inspection.
  • Promising an opening or a price over the phone or chat before the director has confirmed it.
  • Collecting more family information than the program actually needs.

Children, safety and licensing

Child-care licensing, staff-to-child ratios, health requirements and background checks vary by state and by program type, and the director stays responsible for meeting them. Our system supports your own procedures and does not replace them. Check-in and check-out, authorized pickup and emergency procedures stay in your program's own process. The AI assistant never gives medical or developmental advice, never releases a child or changes an authorized pickup (that always needs staff verification), and never promises an opening or a tuition amount it cannot confirm. We collect only what is needed, restrict medical and pickup details to authorized staff, and show each parent only their own child. Tuition goes through your own compliant payment processor and we never hold funds. Subsidy rules vary, and nothing here is legal advice or a certification.
