Limo, shuttle & charter transportation
Book the ride, hold the date, keep every driver on schedule.
Customers want a clear price, a confirmed pickup and a driver who shows up. You need the right vehicle and driver matched to each trip. We handle quotes, deposits, itineraries and driver assignments so the phone stops being your dispatch board.
What we set up
Instant quotes and booked trips
Customers enter pickup, drop-off, date and passenger count and see flat-rate or hourly pricing, then book with a deposit. Airport pickups ask for the flight number, and weddings and events get an itinerary with stops, wait times and a day-of contact.
Drivers, vehicles and the day's schedule
Each trip is matched to a vehicle and driver on one board, with the pickup time, notes and any airport or event details. Drivers see their trips on a phone app and log hours, tips and mileage, so payroll and the daily schedule are not rebuilt from memory.
Charters, contracts and corporate accounts
Group and charter quotes become e-signed contracts with deposit, cancellation terms and gratuity wording. Corporate and hotel accounts get their own rates, a monthly invoice and a record of every ride billed to them.
Where this business gets hard
Quotes take too long
Airport transfers, hourly rentals and group charters each price differently, and customers do not wait. Flat-rate zones, hourly minimums and a quote form that handles each type give an answer while the customer is still looking.
Deposits and cancellations
A held date and a vehicle that sits idle are lost revenue when plans change. Clear deposit amounts, cancellation windows and gratuity terms shown at booking, and agreed to by e-signature, keep disagreements rare.
Matching drivers and vehicles
A trip needs the right vehicle size, a driver who is available and legal to drive, and buffer time between jobs. Seeing everything on one board avoids double-booking and rushed handoffs.
Driver hours, tips and records
Driver hours, gratuity, fuel and mileage all feed payroll and compliance records. Capturing them per trip on a phone, instead of on paper at the end of the week, keeps the logs accurate and pay day simple.
Set up for the way you work
Not every limo, shuttle & charter transportation business runs the same way. We adjust the setup to fit yours.
- Black car and airport service
- Sedans and SUVs, flat-rate airport and hotel transfers and corporate accounts. The setup centers on flight details, meet-and-greet notes and repeat riders.
- Weddings, proms and events
- Hourly limos and party buses with itineraries, multiple stops, decoration and alcohol rules, and larger deposits. Each trip has a contract and a day-of contact.
- Shuttle and group transportation
- Vans and minibuses for hotels, schools, tours and company events, often on set routes or charter terms. Passenger lists, route timing and recurring schedules matter most.
- Corporate and contract service
- Standing accounts with rates, purchase orders, monthly invoices and rider records. Billing and reporting carry as much weight as the ride itself.
Busy seasons and slow ones
Demand follows the calendar. Wedding season, prom and graduation, holidays, concerts and big sporting events book months ahead, while midweek and winter can be slow. Deposits hold peak dates, a waitlist fills cancellations and reminders confirm pickup details a few days out. In slow stretches, outreach to hotels, planners and local companies can add recurring account work.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- What does it cost, and are tolls, wait time and gratuity included?
- How much is the deposit, and what if my plans change?
- Will the driver track my flight if it is late?
- How many people fit, and is there room for luggage?
- Can we make stops or add one along the way?
- Do you carry insurance, and can you provide proof for my venue or company?
Common mistakes we help you avoid
- Quoting an hourly price without stating the minimum, overtime and gratuity, which leads to bill disputes after the event.
- Taking bookings by phone and text without a signed contract that spells out cancellation terms.
- Assigning drivers from memory instead of checking availability and rest time first.
- Letting insurance, inspection and permit dates live in a folder instead of reminders.
Passenger carrier rules vary
Commercial vehicle and driver licensing, insurance minimums, federal and state passenger carrier rules and driver hours limits differ by vehicle size, trip type and location. We build the booking, contract and driver-log steps around the rules you tell us apply to you, and the AI assistant never gives legal advice or promises a pickup time it cannot control. You stay responsible for compliance.
