Auto body & collision repair
Start with photos, keep every customer posted at every stage.
After an accident the customer wants to know what happens next and when they get the car back. We make it easy to send photos for an estimate request, then keep the claim paperwork, parts orders, paint booth, rental car and stage updates organized, so the front desk stops answering the same call all day.
What we set up
Photo estimate requests
Customers send photos of the damage, say whether it is a claim or customer-pay, and pick a callback window. The shop writes the estimate, and a teardown supplement is added when hidden damage is found. The site never states a price, a repair outcome or what insurance will cover.
Stage updates customers can follow
Each vehicle moves through estimate, approved, parts, body, paint, reassembly, quality check and ready. Customers get a plain update at each stage, and parts delays are noted as soon as they are known.
Claims, parts, booth and rentals in one board
Adjuster contacts, direct-repair program notes, parts orders and ETAs, paint booth and frame machine bookings and rental-car dates all sit with the vehicle, along with warranty paperwork at pickup.
Where this business gets hard
The estimate changes after teardown
Photos show the surface, and hidden damage appears once panels come off. A supplement process with photos, a written note to the customer and, on claims, the insurer's review keeps the repair moving and the customer informed.
Parts delays and the waiting customer
A part backordered a week stalls the whole car and the phone rings. Parts ETAs tracked per vehicle, with an honest update when a date moves, cut the calls and the frustration.
Claim work and customer-pay work differ
A claim brings adjusters, program rules and paperwork, while customer-pay work needs a clear written estimate and authorization. Separate steps for each, and a rule that staff never advise on a claim, keep the shop out of the middle.
Booth, frame machine and rental timing
One paint booth and one frame machine are bottlenecks, and a rental car that expires early costs the customer money. A shared schedule with cure time and rental dates on the same board helps the shop plan.
Set up for the way you work
Not every auto body & collision repair business runs the same way. We adjust the setup to fit yours.
- Independent collision shop
- Mix of claim and customer-pay work with direct customer relationships. Photo estimates, stage updates and warranty paperwork matter most.
- Direct-repair program shop
- High claim volume under insurer program rules, with required photos, timelines and documentation. Status updates and supplement tracking carry the most weight.
- Paintless dent and bumper repair
- Smaller, faster jobs, often by photo and often customer-pay. Quick estimates, short scheduling and mobile or drop-off options drive the setup.
- Fleet and commercial collision
- Work for delivery vans, service trucks and rental fleets, often with an account manager. Account billing, priority scheduling and downtime tracking matter most.
Busy seasons and slow ones
Winter ice and rain, back-to-school traffic and holiday travel bring more collisions, and hail or storm events can bring a sudden wave of estimate requests. Slow weeks are a good time to clear old estimates, follow up on declined work and build relationships with insurers, rental agencies and towing companies.
What your customers ask before they book
Your AI assistant and website are set up to answer these before anyone has to call.
- Can I get an estimate from photos, and what does it cost?
- How long will the repair take, and will I get a rental car?
- Do I have to use the shop my insurance suggests?
- What happens if you find more damage after starting?
- Is there a warranty on the repair and the paint?
- Where is my car right now, and what comes next?
Common mistakes we help you avoid
- Giving a ready date before parts have arrived, then breaking it and losing the customer's trust.
- Skipping written authorization for supplements, which leads to billing disputes.
- Advising a customer on their claim or coverage, which is outside the shop's role and invites trouble.
- Letting cars sit past the point where storage fees may apply without a clear written notice. Rules on notices and fees vary by state.
State rules and insurance matters vary
Rules on written estimates, storage fees, authorization to repair, parts disclosures and consumer rights differ by state. Insurance claims belong to the customer and their insurer. The site and AI assistant never advise a customer about their claim, coverage or what to accept, and never promise a repair result or a ready date. We build the workflow around the rules you tell us apply to you. You stay responsible for compliance. Nothing here is legal advice.
